How to Use the Guest Communication Hub
Group communication kills more event days than any other single factor. Wrong pickup time sent to half the group, confused parking instructions, last-minute itinerary changes that some people never see — all preventable with a single point person and a few well-crafted messages sent at the right moments. The hub offers pre-built templates for the messages every group lead needs to send during the 48 hours before pickup.
Templates include pickup-time confirmation, parking instructions, day-of reminders, late-arrival follow-ups, and after-event check-ins. Customize the placeholder fields with your specific details (time, address, driver phone), then copy the full message and paste into your group chat — iMessage, WhatsApp, GroupMe, whatever the group already uses. Send the first message 24–48 hours ahead, the day-of reminder 2 hours before pickup, and the parking note 30 minutes before pickup.
The hub provides text only — it does not send messages on your behalf or integrate with any messaging app directly. For groups using multiple platforms (some on iMessage, some on WhatsApp), send the message in both channels rather than relying on cross-posting screenshots, which usually fail to render correctly. For events with 30+ guests, consider a one-off Slack channel or shared Google Doc as the central source of truth alongside the messaging.
