Transparent Pricing โ€“ No Hidden Fees

You deserve to know what your ride costs before you book. But most companies bury fees in the fine print. That's why every Bus2Ride quote is all-inclusive โ€” gratuity, fuel, insurance, and chauffeur are all built into one honest price.

Every Pricing Question, Answered

Detailed answers to the most common pricing questions we receive โ€” with honesty, not industry jargon.

Is gratuity included in Bus2Ride pricing?
Yes โ€” gratuity is included in every Bus2Ride quote. Our pricing is all-inclusive, which means the total on your quote covers the vehicle, professional chauffeur, fuel, insurance, and gratuity. There is no need to tip separately or worry about an awkward cash handoff at the end of the night. The price you see is the price you pay.
How much does a party bus cost per hour?
Party bus hourly rates range from $150 to $400, depending on the vehicle size, amenities, and your location. A 15-passenger party bus typically starts around $150/hr, while a fully loaded 40-50 passenger party bus with dance floors, fog machines, and premium sound can reach $400-$600/hr. All rates are all-inclusive with gratuity included. Request a free quote with your event details for exact pricing in your city.
What is the minimum rental time?
Minimum rental hours depend on the day and event type. Nights and weekends (Friday and Saturday evenings) require a 4-hour minimum. Sundays have a 3-hour minimum. Prom rentals on Saturdays during March through May require a 6-hour minimum due to peak demand. Weekday daytime rentals may have shorter minimums depending on the vehicle and market. Your quote will specify the exact minimum that applies to your booking.
How much does a limousine cost?
Limousine rates start at $75-$125/hr for a standard luxury sedan and range up to $200-$350/hr for specialty vehicles like Hummer limos or mega stretch limousines. A classic 8-passenger stretch limo averages $100-$175/hr, while a 12-passenger SUV limo runs $150-$250/hr. All rates are all-inclusive with gratuity included. Pricing varies by city, day of week, and season.
What deposit is required to book?
A 50% deposit of the total rental cost is required to secure your reservation and remove the vehicle from availability for other clients. The remaining 50% balance is due 7-14 days before your event โ€” not on the day of service. We accept all major credit cards and debit cards. This payment structure eliminates last-minute financial stress and lets you focus on enjoying your event.
What is the cancellation policy?
Our cancellation policy is straightforward: cancel 30 or more days before your event and you receive a full refund. Cancel 15-29 days before your event and you receive a 50% refund. Cancellations under 15 days before the event are non-refundable, as the vehicle has been held exclusively for your event and the opportunity to rebook it is extremely limited. If you need to reschedule rather than cancel, we are happy to work with you on moving your date at no additional cost, subject to availability.
Are there any hidden costs or fees?
No. Bus2Ride pricing is all-inclusive. Your quote includes the base hourly rate, professional chauffeur, fuel, insurance, applicable taxes, and gratuity. There are no hidden fuel surcharges, cleaning fees, administrative fees, or surprise add-ons. The only items that could add to your total are optional premium add-ons that you specifically request โ€” such as red carpet service, champagne packages, or custom decorations โ€” and these are always clearly listed with individual prices before you confirm.
Is there a difference between weekday and weekend pricing?
Yes โ€” weekend rates (Friday and Saturday evenings) are typically 15-25% higher than weekday rates due to significantly higher demand. Saturday evenings are the most expensive time slot across all vehicle types. Thursday nights are becoming popular as a value alternative. If your event dates are flexible, booking a Tuesday, Wednesday, or Thursday can save you substantially on the same vehicle. Sunday rates often fall between weekday and weekend pricing.
How does prom season pricing work?
Prom season (March through May) is one of the highest-demand periods for limousine and party bus rentals. Expect rates to be higher than off-season pricing, with many vehicles booked months in advance. Saturday prom rentals during March through May require a 6-hour minimum. To secure the best prom pricing, book as early as January or February. All prom pricing is all-inclusive with gratuity included โ€” no surprises for parents or students.
Can I bring my own drinks on the bus? (BYOB)
Yes โ€” most of our party buses and limousines are BYOB-friendly for passengers of legal drinking age (21+). You can bring beer, wine, seltzers, and mixed drinks aboard. However, hard alcohol (liquor bottles) may not be permitted on some vehicles โ€” your booking confirmation will specify the BYOB rules for your particular vehicle. The onboard bar areas include coolers, ice, and glassware. No smoking or pets are allowed on any vehicle.
How much does a coach bus cost?
Coach bus pricing varies by trip type. All-inclusive hourly rates range from $125-$350/hr for 25-56 passenger motorcoaches, with most day trips falling in the $150-$275/hr range. Full-day rentals (8-10 hours) typically cost $800-$1,500. Long-distance or multi-day charter bus trips may be quoted per day or per mile. Mini coaches (25-30 passengers) are the most affordable option for mid-size groups. All rates include gratuity.
Do you charge per person or per hour?
Party buses and limousines are priced per hour, not per person. This means the cost is the same whether you fill every seat or ride with a smaller group, making it economical to maximize your headcount. Coach buses may be quoted per hour or per day depending on trip length. Your quote clearly shows the pricing structure and includes all fees and gratuity.
When is the best time to book for the lowest price?
The best time to book for the lowest price is as early as possible โ€” ideally 4-8 weeks before your event. Early booking locks in current rates and gives you the widest selection of vehicles. Weekday events (Tuesday through Thursday) offer the best value, with savings of 15-25% over weekends. Off-peak months (January through early March, excluding Valentine's Day) tend to have the most competitive rates.
What are overtime charges if I go over my booked hours?
Overtime is billed at the same hourly rate stated in your contract, prorated in 15-30 minute increments. Overtime must be approved by your driver and is subject to vehicle availability. To avoid overtime, we recommend building a 30-60 minute buffer into your booking. Overtime charges are billed to the card on file and also include gratuity in the rate.
How can I get the best price on a rental?
To get the best price: (1) Book early โ€” 4-8 weeks ahead secures the best rates. (2) Choose a weekday or off-peak date. (3) Right-size your vehicle โ€” don't pay for 50 seats when you have 20 guests. (4) Ask about package deals for longer bookings. (5) Consider a Sunday rental with the lower 3-hour minimum. (6) Remember that Bus2Ride pricing is already all-inclusive with gratuity โ€” compare our total cost against competitors who add 18-20% gratuity on top.
Can I bring decorations on the bus?
Yes โ€” decorations are allowed with prior approval. Let us know what you're planning during the booking process and we'll confirm what is permitted on your specific vehicle. We ask that decorations not involve glitter, confetti, tape that damages surfaces, or anything that obstructs safety equipment, exits, or windows. Balloons, banners, sashes, and streamers are generally fine.
What payment methods do you accept?
We accept all major credit cards (Visa, Mastercard, American Express, Discover) and debit cards. The 50% deposit is charged at the time of booking, and the remaining balance is charged 7-14 days before your event. Corporate clients may qualify for invoicing or alternative payment arrangements. All payments are processed securely.
Are pets allowed on the bus?
No โ€” pets are not allowed on any vehicle in our fleet. This policy exists to protect passengers with allergies and to maintain vehicle cleanliness for every group. Service animals are accommodated in full compliance with ADA requirements. If you have a service animal, please let us know during the booking process so we can ensure proper accommodations.
Is smoking allowed on the bus?
No โ€” smoking is not permitted on any vehicle. This includes cigarettes, cigars, e-cigarettes, vapes, and any tobacco or cannabis products. This policy is strictly enforced to protect the health of all passengers and maintain vehicle condition. Violation of the no-smoking policy may result in a cleaning surcharge.

Your Complete Guide to All-Inclusive Party Bus, Limo & Coach Bus Pricing

The Bus2Ride Pricing Difference

Everyone wants to find the best deal on group transportation. But comparing quotes across companies is nearly impossible when each one structures pricing differently โ€” some quote base rate only, others tack on fuel surcharges, cleaning fees, and an 18โ€“20% gratuity that doubles as a hidden markup. You think you are getting a $200/hr deal, and the real cost ends up closer to $280/hr. That's why Bus2Ride pioneered all-inclusive pricing in the charter and livery space. When we quote you $250/hr, that $250 includes everything: the vehicle, the professional chauffeur, fuel, commercial insurance, applicable fees, and gratuity. No line-item surprises, no envelope of cash at the end of the night, no post-trip invoice shock.

This approach is not just better for customers โ€” it is a fundamental statement about who we are as a company. We believe the rental industry has an honesty problem, and we are fixing it one transparent quote at a time. When you compare a Bus2Ride quote against a competitor, make sure you are comparing total all-in cost. You will consistently find that our all-inclusive price is competitive with โ€” or lower than โ€” what competitors charge once you add their hidden fees and mandatory gratuity.

Did You Know?

What kind of license does a party bus driver need?

Party bus and coach bus drivers must hold a Commercial Driver's License (CDL) with a Passenger (P) endorsement. Drivers transporting 16+ passengers need a Class B CDL at minimum. Many reputable companies also require clean driving records, background checks, and drug testing.

What Affects the Price of Your Rental?

Understanding what drives rental pricing helps you make smarter decisions and get the best value for your budget. The primary factors include: vehicle type and size (a 15-passenger party bus costs less than a 50-passenger mega bus), rental duration (longer bookings often have lower effective per-hour rates), day of the week (weekdays save 15-25% compared to weekends), time of year (prom season Marchโ€“May, wedding season Mayโ€“October, and holidays carry premium rates), and your location (major metros like New York, Los Angeles, and Miami tend to have higher rates than smaller markets).

Party Bus Pricing Breakdown

Party buses are our most popular rental category. Entry-level 15-passenger party buses with standard sound systems and LED lighting start at $150-$250 per hour all-inclusive. Mid-range 20-30 passenger buses with upgraded amenities run $200-$400 per hour. Our flagship 40-50 passenger party buses featuring fog machines, laser lighting, VIP areas, and multi-zone entertainment systems range from $400-$750 per hour. Nights and weekends require a 4-hour minimum; Sundays require a 3-hour minimum. Prom Saturdays during March through May carry a 6-hour minimum.

Limousine Pricing Explained

Limousine pricing spans a wide range based on vehicle style and capacity. Executive sedans start at $75-$100 per hour, making them the most affordable option for couples and small groups. Classic 8-passenger stretch limousines average $100-$175 per hour. Step up to a 12-passenger SUV limo or 14-passenger Hummer limo, and rates climb to $150-$300 per hour. Our 16-20 passenger mega stretch and limo bus options bridge limousines and party buses at $200-$350 per hour. All rates are all-inclusive with gratuity.

Coach Bus Pricing for Groups

Coach buses offer the best per-person value for large groups. Mini coaches (25-30 passengers) range from $125-$225 per hour all-inclusive. Full-size 36-56 passenger motorcoaches run $175-$400 per hour. For day trips, expect $500-$1,500 total. Multi-day charters are quoted at daily rates of $800-$1,500 plus fuel and driver accommodations. A $1,200 day trip for 50 passengers works out to just $24 per person โ€” far more economical than rideshares or rental cars.

Understanding Your Total: Everything Is Included

A Bus2Ride quote includes the base hourly rate, a professional chauffeur, vehicle amenities, fuel, applicable taxes, standard insurance coverage, and driver gratuity. Items that may be additional include: tolls and parking fees encountered on your route, and optional premium add-ons such as red carpet service, champagne packages, custom signage, or floral decorations โ€” all of which are clearly listed with prices before you confirm. We never bury fees in fine print. If you see a lower quote from another provider, ask them to itemize everything including gratuity and compare apples to apples. We are confident our all-inclusive pricing provides exceptional value when you factor in vehicle quality, driver professionalism, 24/7 support, and the peace of mind that comes from knowing your total upfront.

How to Get the Best Price on Your Rental

The single most effective way to save money is to book early โ€” 4-8 weeks in advance locks in rates and gives you the widest vehicle selection. Beyond timing, choosing a weekday event saves 15-25% compared to weekend rates. Off-peak months (January through early March) offer the most competitive pricing. Right-sizing your vehicle is another key strategy: there is no reason to pay for a 40-passenger bus when your group has 18 people. And remember โ€” when comparing Bus2Ride to competitors, factor in that our price already includes gratuity. A competitor quoting $200/hr plus 20% gratuity is really $240/hr, which may be more than our all-inclusive $225/hr quote. Get your free quote today and see the difference for yourself.
